For overseas buyers, the logistics of a packaging order can matter as much as the box. Gift boxes are light but bulky, so freight cost depends on carton volume, packing efficiency, and the chosen shipping method. Understanding Incoterms and carton planning before the order saves money and prevents delays.
This article is written for importers, brand owners, and e-commerce sellers who buy custom gift boxes from Chinese factories.
The first problem is comparing prices on different Incoterms. A quote on EXW or FOB excludes freight, while a delivered quote includes it, so the numbers cannot be compared directly. The second problem is packing: cartons that are too large or poorly filled waste container space, while overpacked cartons damage boxes.
Buyers also forget lead times for booking freight, customs paperwork, and port delays, especially in peak season. Finally, rigid boxes cannot be flat-packed, so a decision on structure directly changes shipping volume and cost.
The target buyer includes first-time importers, established brands moving to a new supplier, e-commerce sellers consolidating shipments, and distributors ordering for several clients. Each has different needs: a small buyer may prefer a consolidated or express shipment, while a large buyer may fill containers.
Buyers who sell on marketplaces should also consider carton labeling and any warehouse requirements, which can differ by destination.
Before ordering, confirm the Incoterm, destination port or address, shipping method (express, air, LCL, or FCL), carton dimensions and weight, pallet requirements, and documents such as commercial invoice and packing list. Ask the factory for estimated carton volume and weight per unit.
A complete RFQ should state the quantity, delivery date, and whether the boxes ship flat or assembled. Ask whether the factory can quote several Incoterms and arrange loading at a nearby port. Huaisheng is in Guangzhou, close to the port of Huangpu, which supports sea freight.
Design affects freight. Folding and collapsible boxes ship flat and reduce volume, while rigid boxes take more space. A slightly smaller box, a thinner board, or a different insert can change the cartons per pallet and the cost per unit delivered.
Protect boxes in transit. Use strong export cartons, corner protection, and moisture barriers for humid routes. Label cartons clearly and keep a packing list that matches the contents.

Ask for quotes under at least two Incoterms and a landed-cost estimate. Share your destination and timeline early so that the factory can plan production and booking together.
Huaisheng exports custom boxes to Europe, North America, and the Middle East and can advise on carton packing and loading. Share your quantity and destination and we will propose a shipping plan.
Free On Board means the seller delivers goods on board the vessel at the named port, and the buyer pays freight and later costs.
For foldable boxes, often yes, since it cuts carton volume and freight.
As early as possible, especially in peak season, ideally when production dates are confirmed.
Export planning is part of the packaging decision. Buyers who compare Incoterms, optimize cartons, and plan freight early control landed cost and avoid delays. The next step is to share your quantity and destination for a logistics plan.
